Gate Scanning and Entry Management: What Happens on Event Day

Ticket sales are the easy part. Entry is where an event either runs smoothly or turns into a queue stretching down the street. Here's what actually happens at the gate, from setup to the final scan.

Your phone is the scanner

There's no specialised hardware to rent or ship. The TicketsMinistry Manager App runs on any iOS or Android phone and turns it into a live validator, checking each ticket's QR code against the event in real time as it's scanned.

Setting up gates before doors open

• Assign gates by ticket type, General Admission at one entrance, VIP or seated sections at another, to keep crowd flow predictable.
• Install the Manager App on every staff member's phone ahead of time, not the morning of the event.
• Run a handful of test scans before doors open to confirm every device can see the event and scan correctly.

What happens when a ticket is scanned

Each scan is checked against the event in real time. If a QR code has already been scanned, whether from a duplicated screenshot or an attempted resale, the second attempt is flagged immediately on the scanning phone, not discovered afterward in a spreadsheet.

Handling edge cases at the gate

• Dead phone battery: the ticket still works from a downloaded Apple Wallet or Google Wallet pass, or a retrieved PDF, no data connection needed to display it.
• Name on ID doesn't match the ticket: this is a policy call for the organiser to set in advance, decide it before event day, not at the gate.
• A ticket that won't scan: check whether it's already been scanned once, that's the most common cause, and direct the attendee to organiser support rather than waving them through.

After the event: reconciling attendance

Every scan is logged against the event, so the organiser dashboard shows scanned-in counts against tickets sold once doors close, real attendance, not an estimate, and a useful starting point for post-event analysis.

Good entry management isn't glamorous, but it's the difference between attendees getting inside in seconds and a bottleneck that colours their whole impression of the event before it's even started.
