    Hotel and Resort Events: How to Ticket a Night When the Venue Also Sells Packages

    Hotels are one of the most common event venues in Sri Lanka. More than 100 hotel, resort and beach-club venues have hosted ticketed events on TicketsMinistry, 229 events between them, and Cinnamon Lakeside Colombo alone accounts for 25 of those, before counting its marquee, pool terrace, tennis court and Imperial Court as separate spaces. On 3 October 2026, events were on sale at hotels from Galle and Kalutara to Negombo, Wennappuwa and Kurunegala.

    A hotel event is not a concert in a different room. The venue sells food, drink and rooms, the ticket often includes some of them, and the buyer has to understand exactly what they are paying for. Most of the problems come from that overlap. This guide is for hotels running their own events and for promoters hiring a hotel to host one.

    Two models: the hotel as organiser, or as venue

    • The hotel is the organiser. Radisson Blu Resort Galle and Sentido Heritance Negombo are both selling their own Oktoberfest nights this month. The ticket is effectively a food and drink package with entertainment, and all the revenue belongs to the hotel.
    • A promoter hires the hotel. The Grand Fest at Grandeeza Negombo, Chill Theory at Avenra Gangaara and Night for Sight at Cinnamon Lakeside are all run by outside organisers. The ticket buys entry, and the hotel earns through venue hire, a food and beverage minimum, or both.

    Settle which model you are in before anything else, in writing. It decides who sets prices, who keeps bar revenue, who carries the risk if sales are slow, and whose name goes on the listing.

    Put the package in the tier name

    The buyer chooses a tier at checkout, and a tier called Gold says nothing about food or drink. Look at how three events on sale now describe what their tickets include:

    All three are clear, but only in the description. A buyer who goes straight to checkout sees Silver and Gold. Naming tiers after what they include ("Gold: entry + 3-course dinner") gets the right answer in front of the buyer at the moment of choice, and stops the most common hotel-event complaint at the gate: "I thought dinner was included".

    Pricing tables against single tickets

    Tables are the defining product of a hotel event. Compare what a seat costs at a table with a single ticket in the same tier, and the events on sale now fall into two camps:

    • Discounted tables, 6 to 13 per cent below single tickets in the examples above, reward a group for committing early. They move volume, and they bring in eight or ten people at once.
    • Tables at parity cost the same per head as singles. The product is the table itself: a private space, a guaranteed group position, sometimes a bottle. Parity works when the room otherwise seats singles together on shared benches.
    • Either way, say what the single-ticket holder gets. Chill Theory states it plainly: groups of ten get a private table, individual ticket holders are seated on a shared basis. That one line prevents a lot of arguments.

    Drinks: say the policy, and check the date

    • If the event is BYOB, say so and say whether there is corkage. The Grand Fest states BYOB, with food and other drinks for sale at the venue.
    • If drinks are included, say how many and of what. "Free beverage" will be read by some buyers as free drinks all night.
    • Check the Poya calendar before you set the date. Alcohol sales are prohibited on Poya days, so a drinks-inclusive package cannot be served as sold on one.

    In-house guests, room packages and capacity

    Hotels selling their own events have a problem promoters don't: some of the audience is already staying in the building, and some will want to buy a room and a ticket together. Both can break your capacity count if the tickets are handled outside the main inventory.

    • Decide whether residents get free entry, and say so on the listing. It is the first question guests will ask at reception.
    • Issue resident and room-package tickets from the same event, not a separate list on paper. Invitation packages with a predefined guest list do this, and every guest gets a scannable QR like any other buyer.
    • Use a custom checkout field to ask for a room number or booking reference where it matters, for instance to charge drinks to the room.
    • Sell parking as an add-on if the car park is limited. It tells you how many cars to expect, and buyers know before they arrive.

    Plan for rain

    Many hotel events are outdoors: lawns, pool terraces, beachfronts. That is part of the appeal and the main risk. Hotels have an advantage most venues don't, an indoor fallback, so name it in advance. Night for Sight and Wayo at the Lake are both in Cinnamon Lakeside's air-conditioned marquee. If there is no fallback, say what happens in rain, and know your refund position before the forecast turns.

    Who gets paid what

    • Ticket revenue settles to the organiser after the event, and early settlement is available on approval. If the hotel is the venue and not the organiser, its fee is between it and the promoter.
    • Bar and food spend on the night goes through the hotel's own tills, not the ticket. Agree before the event whether a food and beverage minimum applies, and what happens if it is not met.
    • If a package includes food and drink, decide whether the price is inclusive of taxes and service charge, state it on the listing, and confirm the treatment with your accountant.
